DATA PRIVACY NOTICE
(General Data Protection Regulations 2018)

​1.            Personal Data
 
Personal data relates to a living individual who can be identified from that data.                                
The personal data collected and managed by the Rolle Canal and Northern Devon Waterways Society (“The Society”) consists of names, postal addresses, telephone   numbers and e-mail addresses of its members. The information may be held in physical, electronic or digital format.
 
2.            Data Collection
 
2.1          The Society collects personal data for the following purposes:

  • To administer membership records
  • To fundraise and promote the interests of the Society
  • To maintain financial accounts and records
  • To provide information about volunteering opportunities within The Society
  • To inform Members of news, events and activities organised by The Society 
 
2.2          The Society will:

  • ensure that personal data is treated with strict confidentiality
  • take all reasonable steps to ensure that data is collected, stored and managed securely
  • use personal data only in accordance with the aims and objectives of The Society
                               
2.3          The Society will not:
 
Ø  disclose personal data to a third party without the consent of the relevant individual
Ø  collect excessive or unnecessary amounts of data
Ø  keep data for any longer than is necessary.  (Generally, The Society will delete an individual's personal data upon termination of membership of The Society).          
 
2.4          If The Society considers it necessary to use Members' personal data for a new purpose not            included in this Data Privacy Notice, The Society will publish a new notice explaining the        reasons                for this.  The Society will obtain the consent of Members prior to publishing any           such notice.
 
 3.           Legal Basis for Collecting Personal Data
 
                As a voluntary organisation with a formally constituted committee, The Society is               required to hold a limited amount of information about its members.
                All personal data held by The Society must be maintained in accordance with the               General Data Protection Regulations 2018.
 
 
 
4.            Members' Rights
 
                Members of The Society have the right:

  • to request a copy of their personal data held by The Society
  • to request that The Society corrects any personal data if it is found to be inaccurate or out of date
  • to request that their personal data is deleted where it is no longer necessary for The Society to retain such data
  • to withdraw their consent to the processing of their personal data
  • to request that The Society provides them with their personal data and, where possible, to transmit that data directly to another data controller
  • where there is a dispute in relation to the accuracy or processing of their personal data, to request a restriction be placed on further processing of that data
  • to object to the processing of their personal data
  • to lodge a complaint with the Information Commissioners Office.
 
5.            Complaints
 
The Society would encourage any member who has a complaint about their personal data to seek informal resolution through the Committee in the first instance.  Contact should be made via the Secretary.
If the complaint cannot be resolved informally, a formal complaint may be made to the Information Commissioner.  You can contact the Information Commissioner's Office on:-
